7 Essential Steps for Reducing Callbacks And Building a Service Based Culture

Will DeMuth helps printer service organizations maximize service costs and reduce call backs through product placement, training, and advisory services. Will has 20+ years of product leadership experience and is part of the greatest operational team in the industry. His company Metrofuser has been honored with 20+ Leadership and Industry Awards.

In the printer service industry, there are 2 types of technicians: diagnostic technicians, and part swappers. Most service teams have realized that developing a group of technicians who can troubleshoot is essential for driving growth.
Part swapping will get you only so far. But being a successful technician ain’t easy. There are many variables that affect devices. Types of paper, toner, power and preventive service all impact the outcome and performance of a service organization.
That’s why service leaders must do their part to create an environment where their technicians can operate like finely tuned machines who can diagnose the most common and probable symptoms and — in the process — reap rewards for the entire team.

By following these five crucial steps, you can reduce call backs and foster a successful diagnostic culture within your service team.

1) Technician Training
We can measure the cost of training, but we can’t measure the cost of untrained employees. Firefighters, soldiers, police officers and EMT’s spend most of their work time training.

Why? The fact is they can’t afford to make mistakes, they deal with life
and death, injuries, and emergencies so they practice, practice, practice. That allows them to quickly evaluate a situation, make a decision based on their training and get a planned positive result the first time. Repetition is the mother of learning, the father of action and that makes it the architect of achievement.

2) Source Quality Parts
There is nothing more frustrating to a technician than replacing a part and still having a problem, opening a box and seeing a broken part, or getting the wrong part and having to explain to a customer why they have to come back.

Parts should be 100% post production tested before you get them. Technicians should make it a habit to check parts BEFORE leaving to go to the customer. They should check with tech support if they are unsure of a part name or number.

3) Thorough Testing
Before starting and after repair completion, testing EVERY function of a machine allows the technician 2 things: First, by testing every function of the machine before starting he can point out to a customer something else that is wrong with a machine and the tech will not get blamed for breaking the part or causing the problem during the repair (the tech will also have an opportunity to up-sell the customer).

Second, by post testing he can check every function and show the customer that everything works correctly and answer any questions the customer may have be
fore leaving.

Helpful Resources

4) Educate The User
An overwhelming number of repairs are caused by customers improperly using a machine, for example running labels out of tray 2, 3 or 4 instead of the MP tray.

Taking the time to explain the positive reasons to follow the manufacturer’s recommended method for running labels (or whatever the cause of the problem is), helps the customer to keep from repeating mistakes.

5) Preparation
There is no substitute for preparation. There is a good reason the Boy Scout Motto is “Be Prepared”. Having a stock of top quality, high mortality parts with the tech at all times is essential. Techs having TekSuite on their smart phone or tablet for reference is vital.

Prequalifying calls to the client, asking specific questions and having the client voluntarily perform minor testing helps to narrow the problem. Calling tech support prior to leaving for the repair if they are uncertain of any aspect of the customer complaint and during the repair helps the tech bring the correct part and solve problems in one call. Review the device history is possible.

6) Collaborative Diagnosis

Create an environment of open consultation. The medical profession practices this extensively. On the more challenging cases, doctors will often utilize a collaborative diagnosis approach. Reach out to colleagues or call the various technical support resources. Put your ego aside and bounce ideas off each other.

7) Log Results

Technicians should take notes or keep a log of failures & the solutions, especially on the more uncommon and unusual problems. Overtime, this knowledge base will reduce misdiagnosis and could become a powerful differentiator.

Metrofuser's Printer Repair Training Certification Now Backed By Digital credentials.

Metrofuser's Printer Repair Training Certification Now Backed By Digital credentials.
Elizabeth, NJ– August 1st, 2017 – Metrofuser, a leading global innovator, re-manufacturer and marketer of printer solutions announced the companies printer repair certification is now Backed By Digital credentials.
Certification Backed By Digital Credentials
Digital credentials / certification, also known as open badges, are the newest way for professionals to share their achievements and skills in the marketplace. You can share your credential on your email signature, LinkedIn profile, Facebook page, website, blog or other platform.  Anyone who views it may click on it and be brought to a customized, individual verification page, which confirms who the credential was issued to, when it was issued, what was involved in earning it, and what it qualifies the earner to do.
When someone completes one of our printer service courses and meet the requirements they earn a Digital Credential, essentially a badge icon with our logo and the name of the course.

The secret sauce here is that each Credential has unique code embedded in it. Technicians and Support personal can place these Credentials on their email signatures, LinkedIn pages, blogs, websites, or Facebook pages. Anyone who clicks on it is brought to a secure Verification Page, which lists the person’s name, the date they earned it, what coursework they studied, and what it qualifies them to do.
Benefits to the Credential Earner
For the person who earns the Credential, the benefits are obvious: just about anyone you come into digital contact with can learn a great deal about what skills you’ve mastered, with a single click. When that in-house executive sees the level of detail of a given course you’ve completed, they’ll know right away that what you do can’t be accomplished by a secretary
  • Identity Verification ensures credibility and authenticity
  • Shareability and Marketable- Share achievements on Facebook, LinkedIn, Onforce.com, Workmarket.com, Fieldnation.com, FieldSolutions.com and others.
  • Evidence and testimonials substantiate achievement
  • Highly accessible; anyone with access to the internet or a mobile device can earn and receive their credentials digitally.
  • Secure and Authentic- Metrofuser's Digital Badges are created through a Yardstick’s T2 platform that utilize the best digital credentialing architecture in the industry and adheres to and is fully Mozilla OpenBadge compliant. When the Digital Badge is clicked on, it brings the user BACK to the issuing web site, displaying the authenticity of the badge for proper verification.

Benefits to the Companies that outsource service
For the employer, aside from instant verification, it gives them the ability to quickly see if the material mastered is the right match for their job opening, whether full time or freelance.

If you’re a service company looking to hire someone or subcontract work outside your service area, seeing that a candidate earned their credentials on a particular model tells you they covered high mortality parts, engine specific troubleshooting, maintenance, resets, and disassembly/reassembly and backed by the technical support department of a world class parts manufacturer.

For a corporate recruiter looking for a HP technician that can add printers to a network, the HP Network Printer Communications credential shows you the person learned about driver and firmware installation procedures, NVRAM resets, flash and memory installation, common error code resolutions and TCP/IP network configurations and more. The point is, they can easily see if what you know fits what they need.

Metrofuser's Quality Management System Event Horizon Goes Live

Metrofuser's Quality Management System
 Event Horizon Goes Live
ROSELLE NJ, August 4th, 2014 Laser printer services and solution firm, announced automation that promises to push the reliability of the company's remanufactured fusers and printers to greater levels.

The technology behind the dynamic interface is similar to what is used in the banking and financial industry and allows unparalleled visibility. The system records change events and graphically overlays the event on the warranty rates of the fusers and printers. This allows the company to track corrective actions and spot trends faster. The data is collected across all departments so changes to packaging, production processes and components can be better communicated and quantified.

"Critical introspection is a cornerstone to Metrofuser remanufacturing, this technology will allow greater insight." said Chief Operating Officer William DeMuth "Thousands of hours in research and development have gone into the implementation of the Event Horizon system and the last obstacles to its full capabilities were cleared this summer." said DeMuth "We are excited about unleashing its full potential."

Paper Recommendations

Metrofuser Makes Paper Recommendations To Reduce Call Backs and Warranties

Printer Parts Provider Recommends ColorLok® and BLI Certification Paper For Reliable Office Printing. ROSELLE NJ, May 20th, Metrofuser, a leader in the printer parts service industry, has announced its recommendation for the ColorLok® and BLI Certified paper for use in Laser Printers and MFPs. Metrofuser’s testing department prints over 5 million copies on 2.5 million pages of paper per year. Over the last 11 years and in the process of repairing over 500,000 parts and printer devices, the company has seen the effects of both good and bad paper.

Paper is increasingly a key contributor in poor printer performance and print quality but given little thought at the time of purchase and less thought when problems arise. Both ColorLok® and BLI Certified Paper provide clearly superior performance. Printers are more reliable and are able to maintain image quality over more pages when compared to abrasive, large-particle filler papers. In addition to experiencing significantly fewer paper jams and other errors, these papers leaves behind less dust and toner contaminants, which could potentially contribute to long-term printer reliability and image quality issues.

Testing for these certifications involve running roughly one million sheets through dozens of different copiers, printers, fax machines, digital duplicators and multifunctional devices while assessing packaging quality, cut/edge attributes, image clarity and crease permanence, as well as numerous "runnability" metrics. The tests prove which papers are least likely to suffer from image quality or sheet-feed problems.

Standards for MPS Providers
Managed print services are an all-in-one solution for large fleets providing maintenance, toner and devices. Typically, however, the acquisition of paper is left to the customer. While MPS providers have the financial liability and performance accountability for uptime, they have little control or knowledge with regard to the quality of the paper. Paper certifications allow MPS providers to update contracts with specifications regarding standards.

Certified papers are sold under various brands through retail, Internet, catalog, and contract stationers. Consumers can ask and look for the BLI or ColorLok® seal of approval on cartons and reams of imaging paper. One of the top manufactures funded a study shedding light on this growing problem. From the research, a paper titled “Laser Printer Performance and Reliability” was developed and is a great tool to educate end users. Links to this paper can be found below. Where to Buy

The companies R2 ready support programs recycle through remanufacturingMetrofuser proactively collects end of life electronics and delivers these assets into a comprehensive remanufacturing program, where they are rebuilt to a “like-new” state and remarketed on whole or as sub assemblies. Metrofuser carefully removes, disassembles, cleans and ultimately remanufactures each component.  Many of the parts can be reintroduced back into the office ecosystem up to a half-dozen times.

Highlights from 2012

  • Last Year, Metrofuser remanufactured 58,000 mechanical and electronic parts, diverting 350,000 pounds of technology from ending up in landfills.
  • Metrofuser recycled over 144,000 pounds of cardboard and paper.  E-invoicing uses technology to reduce paper waste, while a companywide paper and cardboard recovery and recycling initiative has ensured that no recyclable paper products are thrown away.
  • The company rebuilt and remarketed 29,000 pounds of laser printers.
  • Metrofuser also recycled over 22,000 pounds of aluminum/steel last year and is seeking to make sure that every unusable piece of equipment that cannot be a part of the remanufacturing process is reused and repurposed outside of the Metrofuser offices.
  • Metrofuser’s Green Packaging Program encourages customers to return cores using the original packaging and is often able to reuse molds several times before they are compressed to 10% of their mass footprint with full support of a nationwide return & recycle program from the packaging vendor.

Roselle NJ - December 16th, 2012 -Laser printer parts manufacturer Metrofuser (www.metrofuser.com) announced the addition of a new class focusing on the communication issues and errors associated with Hewlett Packard LaserJet series printer models. This class is the latest addition to an ever-expanding curriculum of training for service professionals. More info

"Since 23% of all IT Help Desk Calls are printer or copier-related and the bulk of those are printer communication issues," said Will DeMuth, Metrofuser’s COO), "this class is essential for anyone in the business of supporting or repairing HP laser printers."

“The class is structured in an open, student-friendly format,” said Metrofuser’s Eric Katz, “so that all students will feel comfortable and have their needs met. The goals of the class include:

Understanding the function of the system interface and its configuration.
Performing and understanding control panel operations, including service modes, test pages, firmware updates, and reset procedures.
Understanding and properly correcting error codes associated with the formatter system, TCP/IP
Configuration, driver installations, and firmware update procedures.

Metrofuser Marks 10th Anniversary Of Company Founding

10 Year
Celebration
2003-2013

ROSELLE NJ, January 15th , 2013 -- January 2013 marks the beginning of the tenth calendar year that Metrofuser has provided quality service parts, whole unit printers and training to its customers in the office equipment industry.

In 2003, Metrofuser opened its doors as a remanufacturer and distributor of printer parts for Hewlett Packard laser printers. Over the years, the company has expanded its product portfolio to include Lexmark printer parts and it continues to offer increasingly more remanufactured, environmentally friendly alternatives for parts on the top monochrome, color and multifunction printers in the imaging supplies industry.

The company has evolved considerably over the past ten years, adapting quickly but thoughtfully to meet the needs of its customer base. The company opened up a California distribution facility in 2006 because, as Metrofuser’s CFO Eric Katz noted, “many of our customers are in the service business and cannot afford to wait two or three days for replacement parts to arrive.” Metrofuser has worked with regional and national carriers to expand its range of next-day ground coverage while keeping freight costs manageable.

In 2008, Metrofuser started to offer printer repair training classes. “It was an ideal way for us to support our current customers,” said Will DeMuth, Metrofuser’s Chief Operating Officer, “as well as expose our brand to new prospective customers. For growing service providers or copier dealers looking to increase their product base, our offering of weeklong repair and theory classes has been an essential tool in their expansion.”

Metrofuser also began remanufacturing HP laser printers and multi-function devices in 2010. It is a division of the company that has seen rapid expansion, especially as managed print services (MPS) has taken hold and dealers look to find the most cost-effective, reliable printers to deploy. Years of experience in developing proprietary products that solve the industry’s complex problems have positioned Metrofuser as an industry leader that adapts to meet the needs of its clientele and is first-to-market with product offerings and unique solutions.

Metrofuser has continued to grow year after year, despite an uncertain and often difficult economic climate. “The two most important forces in our rapid development,” said Demuth, “have been a superior team of professionals who care about keeping our customers happy and a maniacal obsession with improving and perfecting our quality. Many of our employees have been here for years, enabling us to create a core group of experienced technicians and managers whose dedication has allowed us to evolve and advance.”

“In the end,” said Katz, “we look at our relationship with the customer as a partnership. When we make great parts and printers, when we provide them with training and the tools for them to excel, that is when and how we are able to grow and develop as a company.”
He added, “We are proud of the company that we’ve built and even more grateful to our customers, partners and employees for the last ten years of service and support. We look forward to even better things in the future.”
